Hospital system applications for Ohio University practicums
Four Ohio health systems have application deadlines on Ohio University's own calendar: Cleveland Clinic, Holzer, Mount Carmel and OhioHealth. The MSN FAQ explains why, saying larger systems may run "a centralized process for assigning preceptors that students are required to use," often "well in advance," and that "Fees may apply." Here is Ohio University's table, what each system publishes about itself, and a plan that works with both.

Ohio University's facility deadline table
The Important Dates page in the Graduate Nursing Knowledge Center carries a table titled "Facility Application Deadlines for Practicum Placements." Two notes travel with it: "These deadlines are for facilities located within the state of Ohio," and "Dates are subject to change at facilities discretion."

The page does not say who files these applications. Read beside the MSN FAQ's "students are required to use," the likely answer is that you apply through each system's own process, but confirm it with graduatenursing@ohio.edu before counting on anyone else to submit. Every date here closes before the matching clinical packet deadline.
Reading the MSN FAQ's hospital sentence
The School of Nursing's answer to "Do I need to find my own clinical/practicum site, or will it be assigned?" has four parts. Students "are permitted to identify their preceptors with faculty approval." The Graduate Clinical Coordinator "can help facilitate clinical placements." Larger systems may require their centralized process. And "Fees may apply."
"Required to use" means an informal yes from a clinician inside one of these systems does not settle the placement; the system's process still applies. "Well in advance" is borne out by the table, where Holzer's dates fall 130 to 145 days before term. "Fees may apply" is left open: no Ohio University page gives an amount, the party that charges it or who pays. Some systems mention costs, such as a student badge, on their own pages.
A system's assignment does not replace Ohio University's own approval. Every NP clinical still runs "with an approved preceptor and an assigned clinical supervisor." The Graduate Clinical Coordinator guide covers the help the School of Nursing offers alongside your own search.
Cleveland Clinic and OhioHealth, in their own words
Cleveland Clinic (its own policy). Students apply through the Graduate Nursing Preceptor Placement Application, and the clinic says it "uses ACEMAPP to manage applications and preceptor matching." Eligibility includes enrollment in a program with a current affiliation agreement, an active Ohio RN license, and school approval with academic credit. Its ACEMAPP page considers only listed schools, and Ohio University is on the list.
Cleveland Clinic's application periods run Mar 1 to May 31 for fall, Jul 1 to Sep 30 for winter and spring, and Dec 1 to Feb 28 for summer, and "Exceptions to the application periods cannot be made." Students should not call or email its sites or caregivers directly. If a match is found, its Office of Advanced Practice Nursing contacts the student.
OhioHealth (its own policy), including O'Bleness Hospital in Athens. NP students submit the "OhioHealth APP Student Rotation Application" each semester for any OhioHealth location, in windows of May 1 to Jun 1 for fall, Oct 1 to Nov 1 for spring and Feb 1 to Mar 1 for summer. Its FAQ warns that "Late/incomplete applications will not be processed" and that "OhioHealth is not initiating new affiliation agreements."
You may name an OhioHealth preceptor who has agreed, or ask to be considered for placement, which OhioHealth does not promise; for fall it asks students to apply only with a preceptor already on board. Whether Ohio University is among the schools OhioHealth already works with is a question for the School of Nursing.
Holzer and Mount Carmel
Holzer (its own policy). Holzer's live pages could not be read for this guide, so this summary comes from copies archived in March and May 2026. Its Advanced Practice Provider student rotations give priority to Holzer employees using tuition assistance, then other Holzer employees, then employees' immediate family, then everyone else. Students "MUST complete the electronic Rotation Request Application during the appropriate application period," and an active Clinical Education Affiliation Agreement must be on file.
Documents are due ten business days before the start, and Holzer assigns the preceptor and sends you the contact details. Its archived windows opened only a month before closing, for example Mar 1 to Apr 1, 2025 for rotations from August to December 2025, which fits the 4/1 fall dates on Ohio University's table.
Mount Carmel. Its website has no NP or APRN student page; the student pages found are for medical students, who need "an active Education Affiliation Agreement." Ohio University lists Mount Carmel deadlines all the same, so ask graduatenursing@ohio.edu how graduate nursing students apply there before you plan around it.
Beyond the four: other systems and other states
Ohio University's table names four systems, but others in Ohio run comparable processes on their own pages, among them Nationwide Children's, University Hospitals, Premier Health and Memorial Health System in Marietta. Some assign the preceptor, some want yours named first, and several require a school agreement. The Ohio NP preceptors guide surveys them, and Southeast Ohio preceptors covers the Athens region.
The table also stops at the state line. Hospital systems in Kentucky, West Virginia, Pennsylvania, Michigan or any other approved state set their own rules and calendars, and Ohio University's dates say nothing about them. Start from the system's student page, find its window and its agreement rule before a preceptor there commits, and read clinicals outside Ohio for the state-level questions.
A hospital-system plan, step by step
A system application works best as one of two tracks running at once.
- Decide early whether a system is involvedIf the preceptor you want practices inside one of these systems, its process governs, whatever that preceptor has agreed to informally.
- Confirm the school sideAsk graduatenursing@ohio.edu whether Ohio University holds a current agreement with the system and who submits. Cleveland Clinic lists Ohio University; OhioHealth is not starting new agreements.
- Apply inside the windowUse the system's own form during its stated period, and recheck the date against Ohio University's table, since facilities can move them.
- Keep a second track movingSystems choose preceptors or place students as capacity allows, so line up a community practice or clinic at the same time.
- Carry the result into your packetAn assignment still needs faculty approval and has to reach your clinical packet by its deadline.
The costly assumption: that a clinician's personal yes inside a big system is a placement. Until the system's process approves it, it is only a lead.

How much do hospital systems charge Ohio University students?
Ohio University's MSN FAQ says only "Fees may apply," with no amount, payer or list of systems. Some systems mention charges on their own pages, such as a student badge at OhioHealth. Read the current terms on the system's student page before you apply, and plan for them alongside your other pre-clinical costs.
Why are Holzer's deadlines so much earlier?
Holzer's archived pages do not explain the timing, but the pattern is consistent. Its dates on Ohio University's table run 130 to 145 days before each term, and a 2025 version of the page labeled the column "deadline two months earlier than others." Holzer's own windows also open just one month before they close.
Can I ask a Cleveland Clinic NP to precept me directly?
Cleveland Clinic asks students and school representatives not to call or email its sites or caregivers directly, and it handles preceptor matching through its application. A clinician there agreeing informally does not replace that. If you already know someone, mention it to the School of Nursing and apply through the system in its window.
Does the facility table cover hospitals outside Ohio?
No. It covers only "facilities located within the state of Ohio." A system in another approved state publishes its own requirements, and none appear on Ohio University's calendar. If you plan clinicals near home outside Ohio, find that system's student page early and fit its dates into your work-back plan.
